Guidelines for Paper Submissions

COPYRIGHT CLEARANCES: By submitting your paper and signing the release, you represent that you have cleared all copyright permissions or have ascertained fair use for the addition of fragments of any scores, music recordings, videos and any other material not of your authorship.

Please follow these guidelines when preparing your work for submission for publishing in the conference proceedings. Please adhere to them carefully in order to avoid complications and time delays with the publication.

Style: We request that you adhere to the following formatting guidelines:

  1. Font: Times New Roman, 12 point, with 1.5 line spacing.
  2. All footnotes should follow the Chicago manual of style
  3. All examples should be labeled according to the Chicago manual of style

  5. If you are not able to format your paper in this manner, please contact us to submit your paper in Word format.

Text. Please submit the text of your paper in pdf format. When submitting pdf files to IUScholarWorks, please submit a PDF/A-1a:2005 compliant file.  This can be accomplished from within Microsoft Word by following these steps:

  • Open the Word File
  • Click on the Acrobat tab from the top menu bar
  • Click on Preferences
  • Check the box next to the setting:  Create pdf/a-1a:2005 compliant file
  • Click OK
  • Now to Save, go to File, Save as PDF, and send this version back to the LAMC.

If you are a MAC user, please follow these steps to save your document as a pdf:

  • In Word:
  • Go to “File”– save as, and select PDF
  • Open the PDF in Acrobat:
  • Go to “File”– save as, and select PDF
  • Under “Format” choose PDF/A-1b
  • Click “Save”

Audio. When submitting audiofiles to IUScholarWorks, please keep the following guidelines in mind:

  • The preferred format for audio is an uncompressed format such as WAV or AIFF.
  • Audio should be 16-bit/44.1kHz or better.
  • If using compressed audio, a lossless format such as FLAC is recommended. Highly compressed mp3 and Real Audio files are discouraged.

Video. If you are going to submit a video file to accompany your text:

  • The preferred format is H.264/MPEG-4 video in a QuickTime ‘mov’ format file, with AAC encoded audio.
  • Video files should be in a standard aspect ratio (4×3 or 16×9), at a standard definition resolution or higher.
  • Audio should be encoded at 44.1KHz or higher.
  • Flash Video (FLV) and Real Media (RM) files should be avoided if possible.
  • If your original source video file does not meet the above requirements, contact us. Note:  IUScholarWorks can accept a variety of video and multimedia formats for archiving and playback. As a general rule, the video file that you submit should be as close to the original source as possible. In other words, try to submit video files in the native format from your recording equipment. In some cases, the original video file may not be available. In that case, just submit the best version that you have. Our streaming service will take care of archiving your original, and creating a derivative that can be streamed for playback.
